HDF’s email filtering system: What you need to know.
HDF offers additional email protection through SolarWinds Mail Assure. Mail Assure filters our clients’ email before it arrives at their email server, blocking SPAM and viruses before they can reach our mailboxes.
If you are interested in getting more email protection, or are unsure if your organization and/or your email account is being filtered, please reach out to HDF.
Access your Mail Assure account
You must have email filtering enabled on your account to log in. If you are not sure if your email account is filtered, please check with your administrator, or HDF.
- Scroll to the bottom of your Daily Report email, and click the link “To access your quarantine or unsubscribe from this automatic report, please click here”
- On the Login page, click on the Retrieve log-in link button.
- On the resulting page, enter your email address and click Submit.
- You will receive an email with a link for you to set your password.
- Go back to the Login page and log in with your email address and the new password.
Mail Assure uses collective threat intelligence, gathered from users around the globe. Their proprietary email filtering technology incorporates input from processing large volumes of email data that feed into their Intelligent Protection & Filtering Engine. This, combined with real-time pattern threat recognition and machine learning technology, helps protect you against emerging email-borne threats.
Managing your quarantine
Every day that you receive at least one SPAM email message will generate an HDF Mail Assure Daily Report email, sent to you the following day. If you wish to monitor your quarantine more frequently, you can log into your Mail Assure account at any time to review it.
False Positives
In case of a false positive (a good email which is inadvertently blocked as SPAM), users will receive a daily email message listing all emails that were blocked the day before. From the daily Report email users can easily manage their quarantined emails.
Users have the following options:
Release: Release the email from Quarantine. It will show up in the user’s mailbox in a few minutes.
Release and Train: Release the email (as above) and also indicate to Mail Assure that this is a good email. This training can help prevent Mail Assure from quarantining this type of message in the future.
Whitelist Sender and Release: Release the email (as above) and add the sender’s email address to your whitelist. Emails from this sender will not be blocked in the future. The whitelist is user specific.
Blacklist Sender and Remove: Add the sender’s email address to your blacklist. Future emails from this sender will always be quarantined. Also the email will be removed from your quarantine list.
False Negatives
There will be some false negatives (spam messages which get through Mail Assure and end up in your inbox). Some of the Mail Assure false negatives will end up on your junk email folder in Outlook because they got through Mail Assure’s defenses but were blocked by O365’s. The battle between email filters and spammers is ongoing, and occasionally the spammers will figure a way to get around the filters. But Mail Assure will notice this, adjust the filters and start blocking the new SPAM messages.
